How BizKit helped Gaisano Brothers Merchandising get its payroll ready for go-live by turning its pay policies into clear rules

With BizKit, Gaisano Brothers Merchandising Inc. (GBMI) moved its payroll onto our Attendance and Payroll system. Before go-live, the day the new system took over, GBMI ran the old and new payroll side by side. Every pay item it checked in this Parallel Run came out the same in both. GBMI now needs less help with each cutoff.

GBMI's manual payroll raised the risk of errors, and disputes made extra work for HR

Payroll ran on manual steps. Disputes over pay made extra work for HR and upset employees. Some pay practices did not always match actual attendance.

The move to a stricter, system-run process also worried people. They were unsure about the change and the new system. They also wondered if employees would accept it.

BizKit turned GBMI's pay policies into three clear rules the system can enforce

GBMI and our project team agreed on three changes to its payroll rules.

  • Late deductions now go by the time each employee was late, in place of a set penalty.
  • Employees who work under four hours now lose pay only for the time they missed. Their rate type (daily, monthly or hourly pay) stays the same.
  • Drivers and all other staff who pay Pag-IBIG now have it deducted the same way.

GBMI's users learned the new steps with BizKit's team

Users had to learn new steps and see how their actions affect pay. They also had to get used to a more structured way of working.

Before go-live, users were walked through the new steps and could ask questions. With practice, they went from curious and unsure to more confident.

With BizKit, GBMI tested its new payroll against the old before the switch

In the Parallel Run, the new system and the old process run side by side. Both work out the same payroll, and we compare the two.

Every pay item we checked came out the same in both. Every required test was done.

Attendance records were less complete. A shift was set on 88% of work days, and a check-in recorded on 79%. That showed the team where to work next.

With BizKit, GBMI needs less support each cutoff

In the first cutoffs after go-live, we gave hands-on support as users settled in. With each cutoff since, GBMI has taken more ownership of the process. It follows the process more closely too.

GBMI is working toward a 2-day payroll and has not reached it yet. Clearer payroll rules and better attendance data are helping it get there.

GBMI's payroll data also points managers to budgets and staff costs to review. We are helping GBMI run payroll well on its own, cutoff after cutoff.

Questions about working with BizKit on your payroll

How does BizKit get payroll ready before go-live?

We start with your actual attendance and payroll records. Next, we check every policy against the labor department's (DOLE) standards. We mark each as a fit or a gap to close, then set up the system. Your team practices the prescribed 2-day payroll process in the Parallel Run before go-live is approved.

How much help will we get after go-live?

We shadow your first live runs on an agreed payroll calendar. After that, we keep supporting your team as it settles in. At GBMI, the support needed dropped with each cutoff.

Our attendance records have gaps. Where do we start?

The Parallel Run shows the gaps before go-live, so your team knows where to work. At GBMI, 79% of work days had a check-in on record in that run.
